Earthriders bylaws
Adopted: July 19th, 2016
The mission of the EarthRiders Mountain Bike Club is to grow the sport of mountain biking through social interaction, group rides, setting a proper rider example.
Membership in EarthRiders is open to any person upon payment of dues, and for as long as the member agrees with the principles and mission of being an EarthRider. Membership classes include:
Individual: $20/calendar year
Family: $25/calendar year
Bike Store Employee, Bike Cop, Trail Steward: Free
Dues may be waived in special cases with the agreement of the club officers. New member signups made after July 31st of each year will carry through the following calendar year. Members are entitled to certain perks or privileges which are subject to change. Contact an EarthRiders Officer for details.
Members shall be entitled to the following benefits: to receive general meeting notices; to nominate for office, vote in elections, and hold office; to participate in committees; and to take part in the planning and undertakings of the group.
General meetings are scheduled once every month during prime riding season, and, weather permitting, are generally ride/meetings, which are open to all members and guests of all skill levels. Anyone who requires assistance or guidance at a meeting is encouraged to seek out an EarthRiders Officer. Every effort will be made to accommodate attendees’ needs. Meetings will be announced through the EarthRiders.com website and may also be announced through social media, mail or e-mail.
In October of each even-numbered year, new officers shall be considered for appointment to represent the group. New officers may be appointed by the Cabinet at any time by the currently-serving officers. The EarthRiders membership may also request a general election through a majority vote at any EarthRiders general meeting. Elections will then be held at the next general meeting following a four-week period. Nominations for elections must be made no less than 10 days before the scheduled election. The Officers will make notice of the election by mail and/or e-mail to each member no less than 10 days prior to the election. 20% of the currently active membership shall constitute a quorum.
The Cabinet of Officers shall consist of an odd number of equal officers (5-11) and their duties are as follows:
All Cabinet Officers: Help lead club meetings, provide club direction, represent the club to the public at large, lead special projects, promote the club, host and organize scheduled rides, organize and publicize EarthRiders meetings. Occasionally act as the designated “Voice” of the Cabinet at general meetings presenting the EarthRiders talking points for that meeting. All Officers shall assist the Chair by submitting agenda topics preferably a week or more before and upcoming cabinet meeting.
In addition to general officer duties some officers will have an additional specialized responsibilities as follows:
Chair: Organize and lead EarthRiders cabinet meetings, maintain the agenda, keep the meetings on track. Organize and facilitate the designation of the “Voice” to represent EarthRiders at each general meeting. The ”Voice” will rotate around the board based on who can commit to being present at each individual EarthRiders meeting. It is the responsibility of the designated “Voice” and the Chair to put together an agenda of talking points for each general EarthRiders meeting.
Merchandise manager: Maintain and distribute EarthRider SWAG.
Membership Database Manager: Maintain the database of EarthRiders members and electronically notify members of yearly membership renewal. Information in the EarthRiders member database will not be shared with third parties except to directly benefit the members as agreed by the EarthRiders Officers.
Treasurer: Maintain the EarthRiders financial accounts.
Secretary: Keep written records of EarthRiders meetings and activities. To fill in as Chair in the event of unavailability for cabinet meetings.
General Meetings Manager: Schedules and promotes club monthly meetings and manages meeting logistics.
Webmaster: Manages the EarthRiders.com server and the forums.EaithRiders.com discussion forum.
These bylaws are to be used to guide the EarthRiders membership and its Officers in carrying out the mission as stated above. Changes may be made by agreement of the EarthRiders Officers or by membership vote at any general membership meetings.
